Abstract
Traceability links analytical documentation, physical inventory, and experimental records. This article describes the components of a traceable system and the failure points that most often break the chain.
Traceability is the ability to move in either direction between a result and the material that produced it: from a dataset back to a specific batch, and from a batch forward to every experiment in which it was used. When that chain is intact, anomalous results can be investigated. When it is broken, they can only be described.
Components of the chain
A traceable system requires that each link carries the same identifier and that each transition is recorded.
- A unique batch identifier assigned at production and printed on the label
- Analytical documentation issued against that identifier
- Receipt records capturing arrival date and condition
- Inventory records tying the container to a storage location
- Experimental records citing the identifier for every use
Where chains break
In practice, failures are mundane. Material is transferred into an unlabelled secondary container. A notebook entry names the compound but not the batch. Aliquots are prepared and stored without carrying the identifier forward. Each of these severs the connection between documentation and data, usually without anyone noticing until a result needs explaining.
Traceability is rarely lost through a single serious error; it is lost through many small omissions.
Why it matters for reproducibility
Independent replication requires knowing what was used, not merely what was intended. A published method that names a compound without characterisation data leaves a replicating laboratory unable to determine whether a divergent result reflects biology, methodology, or material. Batch-level citation removes one of those variables.
Building the habit
Traceability is cheaper to maintain than to reconstruct. Recording the batch identifier at every transfer, labelling aliquots at the moment they are created, and storing documentation in a searchable location keyed to the identifier costs very little per event. Laboratories that adopt these habits find that supplier documentation becomes genuinely useful rather than filed and forgotten.
